WEEK 12 THE SYSTEM PROTOTYPE

The Mindanao State University-Naawan Palakasan which was themed "THE RETURN OF THE LEGENDS: MSU NAAWAN GOLDEN LEGACY" is finally over and we are now back into reality. However, the face-to-face classes have been suspended until further notice because of the bombing incident that happened at MSU Main Dimaporo gymnasium last December 3, 2023.

During the palakasan, we have witnessed different kinds of physical activities and sports that was played by the students in different colleges. And as it ended, the College of Forestry and Environmental Sciences was awarded as the overall champion in MSUN Palakasan 2023. Going back, as the palakasan ended, we are now back into our cramming days and sleepless nights as our capstone oral defense is fast approaching

Since the face-to-face classes has been suspended, we spend our time on creating a prototype for our propose project. Mr. Riemann Villaroza spend his time on creating the prototype for administrator, teacher, and parents/guardian module. While Ms. Princess dawn Sijalbo will be assign on revising the chapters 2-5, of course with our help. And as for me, I spend my time on planning the design for our website project in Application development.

In addition, we will start to work on the functionalities in our system since the checking of the system is fast approaching as will as the deadline of our final manuscript. And ofcourse our oral defense which will happen this coming December 15 and 16.

Truly, college life is a cycle of "Hala nakatulog ko" and "Hala wala koy tulog", but we know that in the end, all our hardwork, sleepless nights, tears, and exhaustion will be paid off.

Week 11

This Week we eagerly awaited the teacher's response to our recent inquiry regarding the enrollment process. Specifically we sought clarification on sequential order of the submission of the student information to the LIS and adding the student to the class list.

And we are also focus on waiting for the feedback on our papers, chapter 2 to chapter five . These will be the foundation for our upcoming revision process. And the focus extends on preparing for the oral defense.

Week 10 Finalizing Figures

After the Special Non-working holidays, the Ir-Regulars group were able to revise the contents of chapter 1 guided by the corrections of our instructor. These revisions include finalizing the narrative listing as such multiple figures were added into the chapter. Images below are just a few examples of the added figures.

Other revisions include generalizing the contents such as the objectives, and design and methodology as this will be discuss more in the later chapters. Hence the chapter is now shorter and more concise which is more suited to an 'introduction' chapter compared to before which had the mistake of expounding too much where it should have been explained in the latter chapters.

Week 9 Building the Diagrams

On October 23, 2023 I, the hustler of The Ir-Regulars group went to the library together with the other group to find some resources that we could use as a references to our proposed project. Upon searching I've found two(2) similar researches, I chose to read the project that was implemented at Iligan City East National High School(ICENHS) at Sta. Filomena Iligan City. The project was entitled A web-based student information system for Iligan City East National High School. Going back, I took some photos of their papers, particularly in chapter 4 and 5 to make it as our references.

To continue the whole week work, our group started to build all the diagrams needed for our proposed project. We really had a hard time on making all the diagrams for the reason that all of it are new to us. Aside from the diagrams, we also had to build the Entity relationship model and data dictionary for our project. Additionally, we are still working for our Chapter 4 and 5 which will be submitted on October 27, 2023.

In general, the journey of this project began with a bold vision and a team of dedicated individuals who were determined to bring it to fruition. The first week till present is not easy for us proponents because we still have to discover more about our proposed system. In addition, load of works has been given to us by our other instructors from major and minor subjects that is why we cannot focus on building this project. But we, proponents will do our best to make this project successful.

Week 8 Follow up interview with Patag ES ICT

On October 18, 2023, our group conducted a follow up interview with Teacher Wella Gaa to learn what are the other processes, types of forms, and reports that the teachers need to prepare and to submit. Teacher Wella is the current ICT at Patag Elementary School and was handling Grade 5 Students.

At first, we are hesitant to approach teacher Wella since she was training some of the students in preparation for palarong pambansa. Luckily, one of the teacher ask her to entertain us since ma'am Gina was not around. During the interview, we've tackled about the process of enrollment which is the parents are asked to fill out the standardize enrollment form from Department of Education(DepEd). After filling out the form teachers will double check all the information before inputting it to the Learners information System(LIS).

Learners Information System(LIS) additionally is an online facility that provides for the registration of learners enrolled in schools run or licensed by the Department of Education (DepEd) in the Philippines. It is the national registry of all learners in Basic Education.

Going back to the topic, the process of enrolling new, continuing, and transferee students are also discussed during the interview. For transferee and new students, enrollees are asked to submit a copy of birth certificate and School form 9. In addition, teachers Wella also discuss the content of SF1, SF2, SF3, SF4, SF5, SF9, and SF10.

Generally, the interview lasted 30mins and during that time, we had a chance to asked for their school logo and school theme color.

Week 7 System Design and Chapter 1 Revision

As of the first week of October 2023, our hacker started to create the partial interface for our proposed system using Figma. At first he was still hesitant to create the interface since according to him, he is not good in designing, but luckily, in the end he did agree to partially design the login interface but warned us to not expect more about the design.

The pictures above shows the log in interface for the Pupil, Parents, Teachers, and Admin. The design of our system is still not finalize since we still have to figure out the processes needed such as the admission process, enrollment process, and others. However, this partial design will be our stepping stone to identify the functions needed for our system.

In Addition to this weekly update, last October 11, 2023, our capstone adviser Mr. Cris Neil Anthonny Gulfan had return our papers on Chapter 1 consisting his feedback for our Introduction to summary.

The photos above shows the returned chapter 1 consisting of our capstone advisers comments and suggestions. Although the papers were not return as early as we expected still we are thankful that Sir Gulfan examined our papers carefully and leave such comments and suggestions. By that we can use his suggestions to improve the writings of our papers. We will also take not the words that we should not use to avoid rejection of our project proposal. Additionally, Sir Gulfan suggested to change our proposed title from Students Information System to Pupils Information System.

Generally, our group is eager to finish the prototype of this proposed system so that we can start building the front-end and include those to our weekly update.

Week 6 Chapter 3: Concepts, Theories and Technical Background

On October 1 , 2023, our group conducted a virtual meeting to discuss the chapter three of our project and what to include on our weekly update. Along the discussion one of us suggested to focus on chapter three since we highlighted the chapter two on our week five update.

Our group will use the Unified Modeling Language(UML) because the diagrams helps us to effectively communicate with the stakeholders. By using UML diagrams, these stakeholders will be able to understand the structure and behavior of the Student Information System. Use case Diagram, Activity Diagram, and Context Diagram are the diagrams that we will be using. In addition, our group will use the Entity Relationship (ER) model to carefully examine what data is needed in order to create a database of the SIS that is well-organized.

HyperText Markup Language (HTML), Cascading Style Sheets (CSS),and JavaScript are the Front-End Development Tools that we will be using in our Proposed system. While PHP will be use as our Back-End Development Tools. Different types of testing will also be included in our proposed system.

Together with the other group, the group Hustller visited the Mindanao State University-Naawan Library on the last week of September to gather ideas from the previous related capstone project that we can use as part of the development of our proposed System.

In general, the group are intent on including the system interface on the next update.

Week 5 The write-up of Chapter 2 and Discussion for programming languages

On September 23,2021, we started to gather related literature and existing systems to be use as a references for our proposed project. Luckily, we found lots of related literature and systems in a credible sites such as Research Gate and Google Scholar.

One of the related literature we found was the study of Jamhar and Hastuti (2019) , entitled Parents Involvement on Children’s Education at Elementary School in Omesuri, Lembata Regency. This study aims to ascertain how parents involvement in child's studies can affect their academic performance which resulted that, parental involvement in child's school performance has positive effects in their academic achievements especially for elementary students.

In addition, the study of Gomathy, Kumar, Manesh, and Reddy (2022), Agarwal, Joshi, and Naib(2021) and Samuel(2018), pointed out that having a Student Information System(SIS) can help institutions to maintain students' data efficiently. Moreover, SIS can also lessen the institution's time-consuming process of student activities, storing students' data, and searching students' records. This can also reduce the cost spent by the institutions to buy papers, files, and other stationary stuff that will be used for manual storing of students' data. As  the  school  increases in  its enrollees  every  year,  the  harder  it  becomes  to  deal  with, particularly in  public  academic  institutions  wherein  the population of the students is massive. Additionally, the Student Information System(SIS) can be deployed to maintain and secure the students' records(Samuela, 2018).

After constructing the write-up of Chapter 2, which is the Review Related System and Review Related Literature, we decided to conduct an online meeting through Google Meet to discuss what programming languages should we use to build our system. After a few minutes of discussion, our hacker Mr. Riemann Villaroza decided to use HTML 5, PHP 8, CSS, JavaScript, Visual Basic.net, and XAMPP, and instead of using MySQL, he decided to replace the later with Oracle Database.

Generally, we are looking forward to include the systems interface on our next update.

Week 4: Chapter 1 Write-up

On September 18,2023, we decided to conduct a follow-up interview with our client which is the Patag Elementary School. And that day, we also had the chance to picture the mission, vision, and core values of the institution. Going back to the follow-up interview, our group asked a bunch of questions that could help us construct chapter 1 of our capstone project. One of the questions that we asked is What are the processes the institution will need to follow to Enroll, input grades, prepare forms, and others? Thankfully, the faculties answered our questions briefly.

In the middle of the interview, our group discovered issues and problems that we could address to our proposed project. Those problems are, the aforementioned processes are hassles and time consuming for both parents/guardians and teachers, and losing or misplacing students forms or data.

Below are the brief explanation why are the above-mentioned processes are time-consuming. First, on enrollment process, the parents/guardians are required to come to the institution to personally fill out the form given by the adviser to officially enroll their child. This process is hassle for the parents side especially when they have lot of works to do with their house or with their job. This process is also hassle and time consuming for the advisers for the reason that after the parents fill-out the form, adviser will need to check all the information written to officially input it to the Learner's Information System(LIS) to make the students officially enrolled. They are also required to check all the needed requirements such as child birth certificate. Second, on the process of getting the students forms , teachers will need to look for the specific form in their cabinet. Searching forms can possibly consume hours or days because of too many forms stock in the cabinet. That is the reason why it is time consuming and hassle for both teachers and students/ Parents/ Guardian because they still need to comeback to get the form they needed. And Lastly, on the process of announcing the students grades and performances, teachers will need to conduct a homeroom meeting.  Parents are required to attend the meeting to check their child's grades, attendance and performances which is time-consuming and inconvenient to parents who have jobs. There’s also instances where other parent’s cannot attend the meeting making them unable to check their child's performance.

Losing or misplacing students data or form, since the institution is still using the traditional paper pen method in gathering student forms and putting the forms to the cabinet, losing or  misplacing student forms is one of the problems that the proponents discover to the institution. The reason why this problem exists is because of unorganized form and time period.

Generally, using the collected Information's from the interviewees, our group was able to construct the chapter 1 of our capstone project. These includes the brief background of the project, context, narrative listing, and others, for the proposed system.

Week 3 Online Meeting & Interview through Email

September 14, 2023, Unfortunately Ma'am Gina Arcenal is not available for formal interview for the reason that she has a meeting to attend, so the group agreed to just sent an interview through email. Letter for interview and a few sets of questions was included to the email. The group also explained that the proposed title has been rejected by our capstone adviser Mr. Cris Niel Anthonny Gulfan and suggested to change the title from A Comprehensive Enrollment management System to A Comprehensive Student Information System for Patag Elementary School .

The group feel relieved because the email interview run smoothly. Ma'am Arcenal immediately response to our questions and highlighted the enrollment process of old and new students. In admitting new students, parents or guardian must fill up and submit the basic education enrollment form and other necessary documents which typically include the Birth certificate, Report card/ ECCD checklist, Barangay certification for proof of identity, and kindergarten Certificate of completion for incoming Grade 1 learners. While in enrolling old students, parents or guardian will be given basic education enrollment form for them to completely fill up and update some information or personal details of the child.

On the same day, the group decided to conduct online meeting to discuss different ideas and paper revision. Since our first proposed title has been rejected, we will need to revise our chapter 1. Ms. Princess Dawn Sijalbo was the in charge of revising the papers since she is our project manager. In addition, making of the system was also included to the discussion.

Generally, the group agreed to visit Patag Elementary School next week so that we can ask few more questions to the principal and other teachers personally. We also want to collect some ideas that they want to include in the Student Information System.

Week 2 Informal Interview with the Client

September 4, 2023, we decided to visit Naawan Central School for the second time to meet with the principal, but unfortunately the NCS principal was not around again for the reason that he attended the school seminar and the school guard was not sure when the principal came back, so we decided to search for another possible school as a client for our project. I used Google map to find elementary school near the area, luckily we found Patag Elementary School.

It was 12 in the afternoon, when we arrived at Patag Elementary School. All the students had lunch, including the teachers, but luckily Mrs. Gina Arcenal, the principal of the Patag Elementary School, together with other two(2) teachers entertained us.

Mrs. Gina Arcenal was the visiting principal of Naawan Central School, and we did not expect that she would be the principal of the PES. We feel so lucky when we see her wearing her smile when she recognizes us. Returning to the brief interview at Naawan Central School, Mrs. Arcenal strongly agreed with the enrollment management system. At the time that we asked her if she agreed to be our client, she immediately said yes without any hesitation.

During the interview, Mrs. Arcenal mentioned that Patag Elementary School was established on the year 1950 wherein it is still called Patag Primary School and there is only 1 teacher who only offered kindergarten classed. It was also mentioned that currently, the school have 143 pupils enrolled.

Generally, we are looking forward to work with Patag Elementary School and from time-to-time we will visit Patag ES for the System updates and also to ask for any suggestions from the Principal.

Week 1: Brainstorming & Visiting

During the requirements engineering class hours, we decided to remotely meet for the reason that one of us lived in the different municipality. Throughout the meeting, we discuss about the assigned roles, possible titles, clients, and back-up plans. Throughout the time of discussing, we decided to go for Enrollment management system as our final topic for this project. Before we ended up our virtual meeting, we agreed to meet face to face to visit Naawan Central School for an informal interview but unfortunately the School Principal was not around, so we came up to idea of asking his email address to his assistant so that we can email him for another informal interview.

In addition, even though the school principal of Naawan Central School wasn't around, we happened to meet two(2) visiting principals from other elementary school in Naawan and as we discuss our plan to them, they happen to like the idea of developing Enrollment management system not just in NCS but also to other elementary Schools in Naawan.

Generally, we are looking forward to meet the NCS Principal to finally proposed the Enrollment Management System to them.
