Google Apps for Work - User Unfriendly

Google has recently monopolized the custom e-mail address game by partnering with some of the biggest website builder companies like Blogger, Shopify, Squarespace, Weebly and Wix (aka Domain Resellers).  As someone who has worked with small businesses and individuals to build websites on many of these platforms, I don’t suggest buying your domain through them.

Why?  Because Google Apps for Work is not worth $60 a year, for just ONE e-mail address.  Multiply that for each employee that needs a personalized e-mail address.  For that much money, you could buy at least 3 years of domain hosting with a different service that will provide you with your own free custom email address.  If you were lucky enough to avoid purchasing Google Apps for Work for one of the above services, you know that you can POP3 or SMTP your e-mails to Gmail quite easily.

After searching the web for hours, I couldn’t find one article to explain why I couldn’t POP3/SMTP my client’s Google Apps for Work custom e-mail.  It should be easy if my client is paying $60/year on top of the hosting and domain cost they paid?

Wrong.  This is just my impression, but I feel that Google wants to monopolize and control domains.  I don’t want Google to own my domain because I know that they will raise their yearly maintenance fees under the guise that I will be provided with incredible added benefits.  Like what?  

Business email addresses

Video and voice calls  (I prefer Skype)

Integrated online calendars  (Isn’t this feature is free on Gmail?)

30GB of online storage for file syncing and sharing  (I prefer to pay for Dropbox)

Online text documents, spreadsheets and slides  (These are only useful in emergencies and I got them for free before they started charging for Google for Apps)

Easy to create project sites  (Meh.)

Security and admin controls  (I guess that’s cool?)

24/7 phone and email support  (Ugh.)

To contact Google Apps for Work’s 24/7 phone and e-mail support, you must find a pin code to access their divine gates.  Way to avoid human contact!  I understand that this is a security function.  But I was calling from the business phone number that the account was registered with, shouldn’t my access automatically be verified?  I find it secure and much more convenient to be identified this way.  Ordering pizza from Papa John’s is more pleasant than this.

Me: “Hi, I’d like to order a Large Works Pizza.”

Papa Johns: “Is this Angie at 918 South Congress?”

Me: “Why, yes it is!”

Here are the steps to forwarding your custom domain address via Google Apps for Work to your personal Gmail address.

Log into your Google Apps for Work account.

You must first “Allow less secure apps” - turn this function on.

Click the “Settings” wheel.

Click “Settings”.

Click the “Forwarding and POP/IMAP” tab.

Click the “Add a forwarding address” button.

A pop-up will prompt you to enter a new forwarding address.  You will put your Gmail address here.  Click Next.

Click the “Save changes” button on the bottom.  You will receive an e-mail that will ask you to click a confirmation link.

Log out.  You’re not done yet…

Log into your Gmail account.

Repeat steps 3-5.  Make sure the radio button “Forward a copy of incoming mail to [[email protected]] and [keep Your Mail’s copy in the Inbox] is selected.  Well, that’s the setting I suggest to cover your ass, but it’s up to you.

Save changes and log out.

Log into your Google Apps for Work e-mail account.

Click the “Settings” wheel.

Click “Settings”.

Log into your Gmail account, where you will import your custom domain e-mails and send mail from.

Go to the “Accounts” (if in Google Apps for Work) or “Accounts and Import” tab.

Identify “Send mail as” section and the Add another email address you own link.

A yellow pop-up will prompt you to enter the following information:

Name: Your Name

Email address: [email protected]

Select the box “Treat as an alias”.  This will allow you to switch between sending mail as your [email protected] or [email protected].

Click the Next Step >> button.

You will fill out the next pop-up form like this:

SMTP Server: smtp.gmail.com / Port: 465

Username: [email protected]

Password: yourpassword01

Select the radio button: Secured connection using SSL (which is recommended for Port 465 settings).

Click “Add Account >>”

If you set up the forwarding correctly, you should receive the confirmation email to the inbox you are logged into.  If not, you will have to either retrieve the code from your [email protected] account or log in to click the confirmation link.  If you didn’t receive it immediately, there could be a brief communication error but you really should receive it if the forwarding setup is correct.

Estimate time spent trying to figure this out:  8 combined hours over the course of 2 months because I gave up several times.  Also, none of my clients seemed to remember which account they registered Google Apps for Work with which made finding the pin number impossible.

Estimated time it took to fix:  5 minutes

How long should it take?:  15-20 minutes, if there had been an article available in the FAQ section.

I hope this will help some poor sap who bought Google Apps for Work.  I’m tired of typing Google Apps for Work, I’d avoid buying it just for that reason.
